CONCUR - HOW TO ADD EXPENSES

Concur – Expenses reports
First time user
a)
Log into Concur
b)
Profile drop-down, click your initials (top right side)
c)
Click “Profile Settings”
d)
E-mail addresses (on left side under “Your Information”) – can add two additional e-mail addresses, but not required.

Under the e-mail address section click Verify -you will be sent an e-mail with the code that you will need to enter. The e-mail might appear in your junk e-email folder.

Enter code
g)
You will see a check mark showing that the e-mail address has been verified

Log into Concur
b)
Click “Start a Report” to create a new report (the report is like a cover sheetshowing the week or month ending information)
c)
Report name – enter the week or month ending date (this is the only requiredfield)
d)
Report date – Today’s date
e)
Business purpose – ex – Wine and Trees Flowers
f)
Comment – only if you need to add anything
g)
Click “Create Report” (on bottom right)
h)
Click “Add Expense”
i)
Click “New Expense”
j)
Choose expense type (ex -Meetings)
k)
Fill out the following fields:
1)
Transaction date- Date on the receipt
2)
Business Purpose – (ex – seeing client John Doe)
3)
Vender Description – Listed on the receipt
4)
Amount – Listed on the receipt
5)
Department – Will default to employees department. (Can switch the department if needed; however a flag will appear, but could just click ok)
6)
Comments – Add any comments that will help the person who approves your expense
7)
Appeal # - Only populate if you have a specific appeal # from accounting

Add receipt (right side)
1.
One can add a receipt by uploading or dragging and dropping a file
2.
Click to review image
3.
Click attach

Click “Save Expense” or “Save and Add Another”)
n)
Add the next expense (or as many as you have up to 30 per report)
o)
Once month is over and finished entering all expenses click “submit report”
If one selects “Meetings” as the expense type, Attendees for that meeting will have to be added
If one selects “Travel Mileage” expense the “Mileage Calculator” needs to be clicked to add in your to and from routes. When completed clicked on the blue “Add Mileage to Expense” button located on the bottom right of your screen
