Quick Reference Phone and Voicemail Guide
Making Calls
●
Press the NEW CALL key for hands-free dialing.
●
Dial the number or extension
●
Press SEND CALL.
●
Press END CALL to hang-up.
Transfer – Announced/Consulted
●
With an active call, press the TRANSFER key
●
Dial the second number*
●
Once connected, announce the call and then press TRANSFER again.
*
You can transfer to an internal extension or an outside phone #.
Transfer - Not Announced/Blind
●
With an active call, press the TRANSFER key
●
Press the "BLIND" soft key
●
Dial the destination extension
●
The call will route automatically
Transfer Directly to Voicemail
●
With an active call, press the TRANSFER key
●
Dial *55 then the party’s extension + the # key
●
You will hear automated confirmation
TIPS FOR ALL TRANSFERS:
o
Make sure 2nd party doesn’t hang up before you transfer on Announced transfers
o
If you want to get the call back, press CANCEL to stop the transfer.
Conference Calls
●
With an active call, press the "CONFERENCE" key
●
Dial the a second number and press SEND
●
Press Conference again - you are now on a three-way conference call
●
To split up the callers but keep them on the phone, press SPLIT
TIP: The Conf call will disconnect if YOU press END Call. If you put the Conference on hold, then everyone is on hold.
Call Park
•
Transfer your active call to Park by pressing "Transfer"
•Dial

The system will ask you to dial an extension where you want to Park the call followed by #, or Press # to Park the call at your own extension
Call Park Retrieve

From any phone lift the handset then press *88
•
The system will ask you to dial the extension where the call is parked followed by #
•You will now be connected to the parked call
VOICEMAIL
ACCESSING YOUR VOICEMAIL PORTAL
OPTION 1
•
Press "MESSAGES" button
•Enter your pass code, then #
OPTION 2
•
Dial 999
•Enter your pass code, then #
OPTION 3 (can be used from outside the office)
•
Dial 516-688-7885 or 888-563-5640
•
Dial your extension when prompted
•Enter your pass code, then #

PHONE FEATURES

SPEAKER phone – press button
●
MUTE - press button (person on other end of line cannot hear you)
●
HEADSET - button Press this key to switch to a compatible headset that is plugged into the phone.

MENU button (for the following useful options)

1. Do Not Disturb
– silences the phone’s ringer and sends your calls directly to voicemail. Press 1 again to cancel.

. Forward – can be used to forward all calls to an internal or external phone number – or only when you do not answer
4. Call Lists
– can Dial, Edit, or get more info on:
i. Missed Calls
ii. Received Calls
iii. Placed Calls
iv. Clear – allows you to clear the above lists from your phone
Note: you can do the same from the hard
arrow buttons on your phone
5. Messages
– same function as "MESSAGES" button
3. SETTINGS
1. Basic
:
i. Preferences: Language, Time & Date appearance, Headset memory, Display background
ii. Contrast: control for LCD screen contrast
iii. Backlight Intensity – set option 1 to Medium & 2 to Off
iv. Ring Type – select any of 12 ring tones for your phone

HOLD Places the current call on HOLD.
●
VOLUME CONTROL allows you to control the handset, ringer, speaker and headset volume.
CONTACT DIRECTORY
- in addition to missed, placed, & received calls, each phone can store a local directory of your contacts.
To add or edit a Contact:
●
Press <Menu>, 1, 3 for the Contact Directory
●
Press "MORE", then "ADD" (or "EDIT")
●
Enter first and/or last name.
o
Use the arrow buttons to move between fields.
o
The 1/A/a key toggles between numeric and upper/lower case letter modes.
o
Use the "Backspace" button (<<) to edit your entry
●
Enter phone number in the Contact: field
●
Press "SAVE" (no other fields need filling in)
To call a Contact:
●
Press <Menu>, 1, 3 for the Contact Directory – or the up-arrow for Speed Dial
●
Scroll through list using arrows
●
When the Contact you want is highlighted, press "DIAL"
●
To search the list, press "MORE’, then "SEARCH" and enter the first few characters of the contact’s first or last name and press "SEARCH’ again.
ADDITIONAL INFORMATION
PHONE REBOOT
Periodically, the telephone may require a user reboot.
To restart the phone, press <Menu>, 3, 1, 6, <yes>.
The reboot process will begin and is complete when the idle display is shown. A phone reboot will erase the call lists – though not the contact directory.
